Program Manager

Pittsburgh Youth Chorus (PYC) seeks a full-time Program Manager to begin in August or September 2023. As a leader in vocal music education in the Pittsburgh region for nearly 40 years, PYC serves approximately 200 students in year-round programming and 200 more through special events, striving to inspire and empower the young singers who participate in our programs as they prepare for lives of personal and public leadership.

ABOUT THE PROGRAM MANAGER POSITION:

Reporting to the Director of Education, the Program Manager serves as the primary liaison to both prospective and current PYC singers and their families. From initial inquiry to the last day of the performance season, the Program Manager is the primary point-of-contact for all PYC singers, providing exceptional customer service and singer support that contributes to high annual singer retention. The Program Manager is instrumental in creating a positive singer experience by planning and supporting all rehearsals and performances for PYC. The Program Manager works closely with the Director of Education to support PYC’s artistic staff in preparing for rehearsals, concerts, and other related PYC programs. The Program Manager is the key point of contact for caregivers and students for all choirs, including Neighborhood Training Choirs, summer camps, community collaboration concerts, and special trips.

When it comes to live in-person events, you are at home with ensuring that every individual has the materials and information they need to feel welcomed, ready, and setup for success.

  • You can move around physical materials, including boxes of supplies, choral risers, etc. You have a valid driver’s license and access to a vehicle.

 GENERAL INFORMATION:

  • Job Type/Schedule: Full-Time/Exempt; evening responsibilities once a week, September through April, plus occasional weekends and additional evenings during occasional special production periods

  • Compensation: $43,000 - $47,000 annual salary, plus benefits listed above

  • Location: Hybrid remote; office in Downtown Pittsburgh with programming primarily at Duquesne University

  • Reporting Relationship(s): Reports to Artistic Director

RESPONSIBILITIES:

 Program Administration: 

  • Create and maintain the year-round schedule of placement sessions, rehearsals, concerts, and special performances alongside the Director of Education and Executive Artistic Director 

  • Work alongside the Marketing Manager to coordinate and oversee annual singer registration, including scheduling artistic staff for placement sessions, updating interest and registration forms, updating registration copy for the website, etc. 

  • Secure facility rentals for PYC activities and manage all venue administrative tasks alongside the Director of Education, including reviewing venue contracts, providing certificates of insurance, etc. 

  • Attend all activities for prospective and enrolled PYC singers, including but not limited to placement sessions, rehearsals, season concerts, summer camps, community performances, etc. 

  • Manage PYC’s music library by cataloging, scanning, archiving, and acquiring new music as needed

  • Provide administrative support in all planning phases for special performances and trips domestic and abroad

  • Collaborate with the Director of Education to plan annual placement sessions

 Rehearsal & Summer Residency Camp Coordination:

  • Book all rehearsal and summer camp venues by establishing and maintaining working relationships with venue contacts

  • Manage logistics and set-up for all regular rehearsals and summer residency camp activities, including liaising with venue contacts, preparing and moving necessary supplies (i.e. sheet music, music bags, apparel, and music stands), unlocking the venue, etc. 

  • Serve as the primary on-site contact for singers at rehearsals and camps to ensure they have the support and supplies they need 

  • Maintain accurate attendance records 

Concert Coordination:

  • Book all concert venues by establishing and maintaining working relationships with venue contacts

  • Lead all back-of-house logistics for concerts, including preparing supplies and signage, coordinating stage set-up, recruiting and training back-of-house volunteers, etc.

  • Liaise with concert venue technical staff 

Prospective & Enrolled Singer Communication:

  • Manage all communications with prospective students and their families to answer questions about PYC programs, schedule placement sessions, communicate placement results, and share registration instructions 

  • Serve as the primary contact for all currently enrolled singers for all matters except for tuition payment

  • Represent PYC at school visits and community events alongside the artistic staff for recruiting prospective singers 

  • Maintain PYC’s singer communication hub by consistently updating schedules, singer rosters, weekly reminders to singers and families, etc. 

  • Serve as on-site liaison between artistic staff and singers’ families 

  • Manage concert logistic communications for singers alongside Director of Education

  • Manage PYC’s group of caregiver volunteers to assist with meaningful tasks at rehearsals, camps, trips, and performances.
